DUO-Flex Lesson System
Policy

Regular Lessons (WHITE)

All Regular Lessons are IN PERSON (with the exception of online students).  The scheduled lesson time will be determined through collaboration between the student and LIH at the time of fall enrolment.    There is one lesson during each Regular Lesson Week (white).  If there is a conflict for a regular lesson, the student will follow the "RESCHEDULING LESSONS" policy below to reschedule (flex) their lesson time.  No refunds are applied for lesson conflicts.

FLEX Lessons (MAROON)

FLEX lessons are always VIRTUAL.  A regular lesson may be rescheduled/flexed to ANY of the FLEX Lesson Weeks on the current studio DUO-Flex calendar.  Regular Lessons may not be rescheduled/flexed to the summer session or any future studio year.  Students are responsible for scheduling the FLEX lesson time through the My Music Staff Student Portal.

Unused lessons are non-refundable and expire on the last day of the last FLEX Lesson Week in June of the current studio year.

NOTE:  Only one lesson per week/per student may be booked

RESCHEDULING LESSONS

Rescheduling/Flexing any lesson conflicts is the sole responsibility of the student.  The My Music Staff Student Portal must be used for all lesson rescheduling.  NOTE:  Only one lesson per week/per student may be booked

LESSON CANCELLATIONS

***All cancellations must be made through the online Student Portal***

Lessons may be cancelled by the student six (6) hours before the scheduled lesson and a lesson credit will be applied to your account.

If the lesson is cancelled less than six hours before the scheduled lesson, the full lesson fee will be charged. Kindly give as much notice as possible to facilitate rescheduling for other students.

*If the teacher arrives at the student's home and the student is not available for the lesson, the full amount of the lesson will be charged.

Teacher cancellations will also result in a lesson credit applied to your account.  Any teacher cancellations after May 15th will be refunded due to rescheduling difficulties late in the studio year.

VIRTUAL LESSON DELIVERY

Learning in Harmony reserves the right to shift to virtual lesson delivery at any time during the studio year.  Depending on the determining factor, this may be for one lesson day, a series of indicated lesson days, or a temporary full-time shift to virtual lessons.

FLEX LESSON TIMES

FLEX lesson times are subject to availability.  There is no guarantee of consistent times.

INCLEMENT WEATHER

Virtual lessons will be implemented in ALL cases of inclement weather as determined by the OSTA (Ottawa School Transportation Authority).  If the OSTA cancels school buses, lessons will AUTOMATICALLY be shifted to a virtual format.  This process ensures the safety of our teachers during inclement weather while ensuring that students do not miss a lesson.  If the virtual lesson is declined by the student, a Student RUBATO lesson will be applied.

ARRIVAL TIMES/TEACHER CANCELLATION

Punctuality is very important. However, especially for in-person lessons, there can be extenuating circumstances including traffic, construction, and unexpected inclement weather.  Due to these (and other) variables, lessons may begin within a 15 minute window after the given lesson start time. Lessons will still be given for the full lesson period assigned whenever possible, though we do reserve the right to cancel lessons as necessary.

If the teacher expects to be more than 15 minutes late for the lesson, an email notification will be sent.

In the rare case of cancellation due to severe weather, teacher illness, or family emergency, we will strive to notify you as early as possible.

DISCONTINUING LESSONS

Every student stops taking lessons at some point in their music career whether it is 1 year, 5 years, or 20 years into music lessons. Ideally, this decision is made thoughtfully with plenty of discussion between the teacher, parent, and student so that lessons can end on a positive note.

2 weeks notice in writing (via email) is required prior to discontinuing lessons.
